Las Vegas is our most-traveled destination for one reason: no city concentrates more attendees per square foot, and nothing cuts through show-floor fatigue like a machine doing real work in public. The flat $900 travel fee covers crew and equipment; everything else quotes like a local build.
The Vegas builds we run
Gifting suites during the big shows, where a two-day, two-head program clears hundreds of personalized pieces and the suite becomes the meeting spot attendees suggest to each other. Resort events — sales kickoffs, incentive trips, award nights — where the bar runs during the evening reception and the uplighting does half our styling. Booth activations on the show floor itself, where the needle loop stops aisle traffic better than any LED wall on the row.
Vegas logistics without the surprise invoice
Convention-center work here means drayage, union jurisdictions, and rigging rules that change by hall. We have run them enough to price them correctly up front: send the exhibitor kit with your quote request and the number you get is the number you pay. Resort ballrooms are simpler — dock time, COI, one standard outlet per machine, 90-minute load-in.
Timing and booking
Show-season dates are spoken for well in advance, and the crews that know Vegas book first. For January and the fall run, reach out six to eight weeks ahead; off-season resort events are far more flexible. Anchors: local-style pricing from about $5,000 plus the $900 travel, staffing at $250 per hour. The cost answer breaks down every variable, and the quote form starts the clock.
